Room Reservations

Reserving College of Agriculture and Life Science (CALS) Classrooms for Events

Please read the following instructions and click the link at the bottom of this page to access the reservation request form. To use this site you must have an active Cornell net ID. This site can only be used to reserve R25 CALS classrooms for events if space is available. If you wish to reserve a department or conference room you must directly contact that department to submit a request.

Use this form for non-course event room reservation requests (no official academic class, or prelim exam room requests). Event examples are: review sessions, information sessions, office hours, student group meetings, special events, presentations, training's, etc. If you have any questions please send an e-mail to cals-studentservices [at] cornell.edu.

The CALS Office of Student Services attempts to process room requests within three business days. During the first two weeks of the fall and spring terms processing may take longer due to extremely high request volume. We cannot process same day requests, so please make your requests as early as you can. We will confirm each request by e-mail.

Once your reservation has been confirmed, you must arrange for access to the building and room by contacting the appropriate building coordinator. Be aware that most buildings/rooms are locked after hours and on weekends so you must contact the building coordinator, during their office hours, prior to your event (there are no staff available for assistance on weekends or evenings). Policies

Reservations are first come, first serve, with priority given to College of Agriculture and Life Science events. Occasionally groups may be bumped for a high priority CALS/University event and will be promptly notified. All reservation requests must be by, or on behalf of, groups that are officially recognized by Cornell, or a Cornell unit/department. Cornell student groups must have an active registration with the office of Campus & Community Engagement, Individuals may not reserve these rooms for personal use.

CALS reserves classroom space with an expectation of courtesy. All users of classrooms are expected to leave the classroom and its equipment in good order. This includes chairs, desk and tables straightened, windows closed, electronic equipment powered down (if applicable, including lights off), removing or disposing of everything one brought in, such as beverage/food containers, newspapers, etc. No food or drinks are allowed in classrooms unless you have prior approval. Also, removing furniture from any classroom (eve if it is intended for use in an alternative classroom) is not permitted. Users are expected to take extra care that no damage is done to classrooms or classroom furniture or equipment and that the room is returned to a class-ready condition.

Audiovisual equipment and lecterns may not be moved. Additional fees may be assessed if the room is damaged or extra cleanup is needed. The cost to repair any damage to CALS equipment or landscaping will be the responsibility of the requesting group/contact person. If applicable, classroom keys must be returned to 140 Roberts Hall the following business day. All lights and equipment must be turned off. The requesting group/contact person may be held liable for any damages, theft, and/or missing equipment.

Failure to observe these rules may lead to a revocation of room reservation privileges.

You must include a completed Event Registration form if your event meets any of the criteria listed below or on the site linked above:

  • Events that have food from a caterer, or homemade food (pot lucks)
  • Events that involve alcohol
  • Outdoor events
  • Events that have the potential to go past 11:00 p.m.

Cancellation Policy

Cancellation requests should be sent to cals-studentservices [at] cornell.edu with the confirmation reference number in the email subject line as soon as possible so we may plan accordingly.
